Document Request Setup
Before sending your first document request, configure your firm's branding, a verified recipient email and your preferred default settings once. After that, every request is ready in seconds.
This page explains step by step which settings are available, where to find them in MaraDocs and how to determine the URL of your firm's logo from your own website, for example. All settings can be adjusted at any time later.
- Custom branding: Logo, corporate color, firm name and website are displayed to the client with every upload and in all confirmation emails.
- Verified recipient email: Incoming, confirmation and reminder emails arrive exactly where you need them for your file.
- Default file types: Centrally define which file types clients are allowed to upload by default – customizable per request.
- Privacy notice: Clients receive a clear notice about data processing during upload – GDPR-compliant and consistent for your firm.
Where to Find Document Request
In MaraDocs, the document request feature is located in the left main navigation under "Document Request". Within this section you will find the tabs "Create", "Manage", "Templates" and "Settings".
On first access, MaraDocs automatically guides you through a quick setup. You can revisit the wizard at any time later or change the values directly in the settings.
Client Page Branding
When your clients open the upload link, they see an interface customized to your firm. All emails from MaraDocs also use your logo, your color and your firm name. Configuration is done in the settings under "Branding".
Determine Logo URL
MaraDocs does not host logos for you, but loads your logo directly from your firm's website – this keeps it always up to date and you maintain control over the image.
If you don't yet know the direct URL of your logo, you can determine it in any browser in seconds:
- Open your firm's website in Chrome, Firefox or Safari.
- Right-click on your firm's logo.
- Select "Copy image address" (or "Copy image link") from the context menu.
- Paste the copied URL into the
Logo URLfield in the MaraDocs settings.
Tip: Ideally use a PNG or SVG file with transparent background. The URL must be publicly accessible (https) so MaraDocs can load it.
Corporate Color
The corporate color is used for buttons, highlights and colored accents in the client view and in emails.
You can either enter a hex value (e.g. "#1f3a8a") directly or select your color visually using the color picker icon next to the input field.
Firm Information
This information appears at the bottom of the client page and in the imprint section of upload confirmations.
- Firm name: is displayed to the client as sender.
- Address: appears in the footer and in confirmations.
- Website: links from the client view back to your firm's website.
Notifications
MaraDocs automatically informs you and your client about every relevant step – creation, receipt of new files, reminders and replies. You will find the most important settings in the Settings tab.
Select Verified Recipient Email
Select the email address to which all notifications regarding document requests are sent – e.g. an office mailbox that is processed further in MaraMail or your file management system.
Only verified email addresses can be selected. Verify new addresses in the general account settings under Settings → Verified Emails.
Confirmation Emails on Creation
Enable this option if you want MaraDocs to send you a confirmation email to your recipient address immediately after creating a document request. Useful for documentation in the file or for the office.
Maximum Email Attachment Size
Defines the maximum size at which MaraDocs includes uploaded documents directly as attachments in the notification email. Default is 10 MB, maximum is 25 MB. Larger files remain available in MaraDocs.
Please ensure your mail server accepts attachments of this size. For very large files, we recommend the "Open in MaraDocs" workflow.
Standalone Client Messages
This option allows clients to send you messages through the messaging system without a file or unfilled form – e.g., inquiries before uploading. Can be disabled if needed.
Default File Types
You centrally define which types of files clients are allowed to upload by default. You can expand or restrict this list for each individual request.
- Images: JPG, PNG, HEIC – ideal for mobile photos.
- PDFs: classic documents and signed forms.
- Office documents: Word, Excel, PowerPoint and similar formats.
- Video and audio files: e.g., voice messages or evidence videos.
- Emails: .eml and .msg are accepted including attachments.
For each individual request, you can specifically expand or reduce this default selection – for example, if you only expect a specific signed PDF.
Privacy Notice for Clients
During upload, the client receives a clear notice about what happens to their data. This keeps you GDPR-compliant and builds trust.
MaraDocs provides a sensible German default template. You can customize the text in the settings at any time, for example to align it with the wording of your privacy policy or maintain additional languages.
Note: The privacy text serves solely to inform the client – no additional consent is obtained, as the upload itself is part of the client relationship. Please review the data protection requirements on your own responsibility. Maramia GmbH offers the template purely as a service, but does not provide legal advice or legally binding information.
Once branding, notification email, file types, and privacy notice are configured, your document request is ready to use. In the next step, you'll create specific requests for your clients.
